Customise staff's access to viewing and/or editing KPI Reports

First, to setup a staff member’s custom permissions, you must make sure they are:

1. Added as a staff member (with or without a column) in “Staff Profiles & Access"

2. That staff member has an email address & permission level (Manager or Receptionist) and either remote login or pincode access enabled.

Then, go to the "Permissions & Security" page in "Staff & Business Settings".

To view and customise staff access, click into the staff member's row to open it:

There are 2 different things you can customise access to with KPI reports. You can customise access for who can view which KPI reports, and you can customise access for who can edit which KPIs. The options are:

For viewing KPI reports:

  • Can view KPIs for Business & All Staff

  • Can only view their own KPI reports

  • No access to KPI reports

For editing KPI reports:

  • Can edit KPIs for any staff member

  • Can only edit their own KPIs

  • No access to editing KPIs


Default KPI Reports permissions

All staff members will start off with default permissions, depending on the access level they had before.

For viewing KPI reports

Managers will start off with this setting:

Receptionists who previously had access to cashup will start off with this setting:

Receptionists who did not previously have access to cashup will start off with this setting:

For editing KPI reports

Managers will start off with this setting:

All receptionists, regardless of whether they had access to cashup previously or not, will start off with this setting:

To change a staff member's access level to KPIs (given you have the relevant permission to change this), simply change their access settings by clicking on the permission you want them to have and you'll see a green box appear at the top of the page to indicate your changes have been made and saved:

Bear in mind that those with receptionist level access previously will by default not have the ability to view or edit staff access


Accessing KPI Reports

Anyone with access to all KPI Reports or their own can access KPI Reports from the mini menu by pressing their name at the top of their column, or by going to Staff Reports > KPI Reports

Note that staff members who have 'no ability to access KPI Reports' will have 'KPI Reports' disabled in their mini menu and will not be able to view the KPI reports page from Staff reports either

For those with permission to 'view KPIs for Business & All Staff', their KPI reports page will look like this:

For those with permission to 'only view their own KPIs', their KPI reports page will look like this:


Editing KPIs

Everyone with access to viewing KPIs and with ability to edit all KPIs or just their own can access this feature by clicking the 'CUSTOMISE KPIS' button in the right hand corner at the top of the KPI Reports page.

For those with ability to edit everyone's KPIs, their KPI customisation page will look like this:

Note that customising your Business KPI view means customising your business KPI view over all date ranges. Customising a staff member's KPI view will only change their KPI view and not any other staff member's.

Since no one will start off with the default access 'Can only edit their own KPIs' (Since managers will default to being able to edit all and receptionists will default to being able to edit none), if you want to allow your staff to edit their own KPIs but no one else, change their settings to this:

For those with ability to edit only their KPIs, their KPI customisation page will look like this:
